            <title>Meeting Notes - February 23, 2007</title>
            <description><![CDATA[<p>NOTES OF THE VICE PROVOST FOR ACADEMIC AFFAIRS<br />
SEARCH COMMITTTE MEETING<br />
February 23, 2007</p>

<p>Members present:  Jerry Bayless, Paula Cochran, Pat Davis, Gene Doty, Greg Gelles, Leon Hall, Kimberly Henthorn, Frank Liou, Bruce McMillin, Keith Nisbett, and Jay Switzer</p>

<p>Member absent:  Kelvin Erickson</p>

<p>Dr. Gelles convened the meeting by reviewing the Provost&rsquo;s charge to the committee with regard to deadlines.  By March 2 the committee is to submit at least two but no more than four names to Provost Wray for interview consideration.  Dr. Gelles has a meeting scheduled with the Provost on Thursday, March 1, to discuss the committee&rsquo;s recommendations.  The committee is to schedule interviews during the week of March 5 of the candidates approved by the Provost.  By March 19 the committee is to submit an unranked list of acceptable finalists to the Provost.  </p>

<p>Dr. Gelles indicated there were seven applications received for the VPAA position. The committee reviewed and discussed the qualifications of each candidate.  It was decided to submit four names to the Provost for interviews.  </p>

<p>Finally, there was discussion as to the interview format.  If there are four individuals to be interviewed it was determined that March 6 &ndash; 9 will permit one interview/day.  There was some discussion as to which campus groups should be involved in the interview process.  Meetings with the Chancellor, Provost, Department Chairs and the RP&amp;A committee seemed appropriate, along with the Search Committee.  There will also be an open forum for each candidate.  Dr. Gelles and Pat Davis will begin making general arrangements.</p>

<p>Dr. Gelles closed the meeting by informing the committee that he will communicate the Provost&rsquo;s decision after their meeting on March 1.</p>]]></description>

            <title>Meeting Minutes - February 7, 2007</title>
            <description><![CDATA[<p><strong>Vice Provost for Graduate Studies Search Committee Meeting</strong></p>

<p>ATTENDEES: Vicki Hudgins, Roger Jett, K. Krishnamurthy,  Daniel McAdams, Robert Montgomery, Adam Sibley, Pericles Stavropoulos, Richard Stephenson, David Van Aken, Ralph Wilkerson</p>

<p>Ralph Wilkerson opened the meeting at 8:00 a.m. </p>

<p>Roger Jett noted that UMR is committed to equal employment opportunity.  He provided copies of HR-102 Equal Opportunity Program and HR-110 Interviewing from the UM Human Resources Policy Manual, and paperwork related to filling a vacant academic position.  He discussed completing the Job Description, Recruitment Plan and Request to fill forms.  Once the paperwork is approved and the position is announced, we can require applications to be submitted within two weeks.</p>

<p>The position announcement drafted through e-mail discussion was reviewed.  The committee agreed to modify the last paragraph to read as follows:</p>

<p>&ldquo;Since the VPGS would not be able to continue research at a high level, an individual holding a named faculty position would be required to relinquish the title and financial benefits associated with that position upon accepting the VPGS appointment.&rdquo;</p>

<p>The sentence on prior administrative experience was also changed to read, &ldquo;Prior administrative experience is desirable, but not required.&rdquo;</p>

<p>These changes were voted on and approved unanimously by the committee.  These changes were to be incorporated into the document and forwarded to the Provost for approval.  Ralph Wilkerson agreed to meet with Richard Stephenson after approval by the Provost and submit the necessary paperwork required for the position.  Additionally, it was noted that William Fahrenholtz had been appointed as the Academic Council representative to the committee.  </p>

<p>Provost Wray opened the meeting at 8:00 a.m. by reading the committee&rsquo;s charge.</p>

<p>Ralph Wilkerson was elected as the chair of the committee.</p>

<p>At this point, Ralph Wilkerson started chairing the meeting.   Rick Stephenson was elected as the vice chair of the committee and K. Krishnamurthy as the recorder.</p>

<p>The description of the announcement for the Vice Provost for Graduate Studies (VPGS) position was discussed.  Dave Van Aken kindly agreed to put together the first draft of the announcement.</p>

<p>The committee will meet at 8 a.m. on Wednesdays.  Ralph Wilkerson will check to see if 216 Parker Hall will be available for this purpose. </p>

<p>Meeting adjourned at 8:50 a.m.</p>

February 5, 2007</p>

<p>Dr. Gelles convened the meeting and asked Roger Jett, Assistant Director of Human Resources, to review the search guidelines for the committee.  Mr. Jett provided copies of the hiring forms and other information concerning equal opportunity employment and interview appropriate questions.  He indicated that the President&rsquo;s approval to conduct an internal search has been received.  He also indicated that if the paperwork is completed by Tuesday it is possible that the VPAA position may be posted on Wednesday, February 7.  Once the job announcement is posted on the HR website, it may be posted on the Search Committee&rsquo;s site and sent to e-Connection.</p>

<p>The committee discussed the job announcement, position duties, and position qualifications drafted by Greg Gelles, Leon Hall, and Gene Doty.  There were a few revisions suggested.  Dr. Gelles and Pat Davis will incorporate the revisions and complete the Request to Fill paperwork on Tuesday, obtain the Provost&rsquo;s approval, and deliver it to HR for posting.   The committee also reviewed the compiled list of potential candidates for the VPAA position.  It was decided that each candidate should be personally contacted by one of the committee members, asking that he/she seriously consider applying.  The list was divided among the committee and Dr. Gelles asked that each nominee be contacted in the next day or two.  </p>

<p>The next committee meeting will be held on Friday, February 23, 3:00 &ndash; 4:00 p.m. in 117 Fulton Hall.  <br />
There will be a discussion and ranking of the position applications.  If there is reason for a meeting before February 23, Dr. Gelles will call such a meeting.</p>]]></description>

January 31, 2007</p>

<p>Member absent:  Kimberly Henthorn</p>

<p>Provost Warren Wray convened the committee, gave the committee their charge, and reviewed the vice provost for academic affairs position requirements and duties.  He asked the committee to select a chair, a vice-chair, and recorder.  All of these positions were selected by acclamation.  They are:  Chair&mdash;Greg Gelles; Vice-Chair&mdash;Leon Hall; and Recorder&mdash;Pat Davis.  At this point the Provost left and Dr. Gelles presided.  </p>

<p>Dr. Gelles identified the construction of the job position&rsquo;s duties, responsibilities and qualifications as the first order of business.  Kelvin Erickson indicated that the Personnel Committee during the restructuring process had drafted a list of duties for this position.  He will send this list to all committee members electronically.  Greg Gelles, Leon Hall, and Gene Doty agreed to draft this document.  They decided to meet on Friday, February 2, at 3:30 to begin the work with a target date of Monday, February 5, to circulate the draft to the committee.  The committee will then be asked to recommend any changes by Tuesday, February 6.  It may then be possible to post the position on February 7, with the application deadline of February 21.  There was some discussion as to the eligibility of Curators and named professors&rsquo; eligibility to apply for the position.  Based on the requirements posted for the Vice-Provost for Research such professors would be required to relinquish the title to accept the VPAA position.  </p>

<p>Provost Wray, in his opening remarks, encouraged the committee to be pro-active in seeking qualified candidates.  The search is limited to interested persons on the UMR campus, so it was suggested that each committee member submit the names of three individuals he/she believes to be a good candidate for the position.  These nominations should be sent to Dr. Gelles by the close of business on Friday, February 2. </p>

<p>The committee decided to require a vision statement along with a resume and letter of application of all applicants.  There was some uncertainty as to the extent of Human Resources&rsquo; involvement and time frame requirements in this search process.  Dr. Gelles will check with HR and report to the committee.</p>

<p>The committee must submit a finalist&rsquo;s list to Provost Wray no later than March 2.  </p>

<p>The next committee meeting will be held on Monday, February 5, 3:00 &ndash; 4:00 p.m. in 117 Fulton Hall.  Items to be discussed will be the committee&rsquo;s list of nominations and the job description/advertisement.</p>]]></description>

<p>Careaga called the meeting to order at 8:05 a.m. There were no minutes from last week because phone interviews were conducted.  Minutes of the January 24, 2007 meeting were reviewed and approved. </p>

<p>The committee reviewed the schedules for the three on-campus interviews and determined who will transport each candidate to and from campus and escort them throughout the day. The questions for campus input via paper and the on-line site was reviewed and changes suggested. </p>

<p>The UMR campus community will be notified in today&rsquo;s E-connection of the schedule for open forums. </p>

<p>Reference checks will be conducted after campus visits. </p>

<p>The February 14th meeting is canceled. Next meeting will be on February 21 at 8:00 a.m. in 117 Fulton Hall.  </p>

<p>Stoll called the meeting to order. Minutes from January 2, 2007 meeting were approved with a slight correction to one proposed interview question. </p>

<p>Careaga reported that the webpage (http://professionalsearch.mst.edu/ ) has been set up and that this committee&rsquo;s postings eventually will be archived. Meeting summaries will be posted. </p>

<p>Committee members reviewed the revised evaluation forms for application materials and telephone interviews. The interview itinerary was discussed and approved with a slight modification. Collection of feedback during the interviews was discussed. </p>

<p>The applications received to date were preliminarily reviewed. </p>

<p>The timeline for the search process was reviewed. If more applications are received, the committee will meet next week to review them. If not, we will proceed with the applications currently submitted.</p>

<p>Our next meeting will be held on Wednesday, January 24 or 31, 2007 in Room 216 Parker Hall at 8:00 a.m. </p>

<p>Stoll called the meeting to order and reported she has updated Dr. Wray. </p>

<p>Minutes from December 19, 2006 meeting were approved as sent via email. </p>

<p>Committee members reviewed status of position posting and discussed avenues to publicize this opening. We all agreed that we need to &lsquo;beat the bushes hard&rsquo; to generate the best candidate pool possible. </p>

<p>The committee reviewed and revised handouts of interview schedule and questions and evaluation forms to be used in reviewing application materials and conducting phone interviews from past searches provided by Stoll. The members discussed the involvement of students and department chairs. </p>

<p>Several committee members are unfamiliar with many of the acronyms used in the IR field. Earney agreed to provide a list and what the organizations they abbreviate. </p>

<p>The timeline for the search process was altered slightly. </p>

<p>Our next meeting will be held on Wednesday, January 17 in Room 216 Parker Hall at 8 a.m. and will include a status report on applications and will explore the process to be followed for reviewing applications. The January 10 meeting was cancelled. </p>

<p>Stoll called the meeting to order. </p>

<p>The committee members finalized the position announcement, which will be sent to Human Resources for review and posting. Locations to post the vacancy were identified and committee members agreed to make personal contacts with colleagues to encourage a good applicant pool. </p>

<p>The importance of this position to the campus was discussed. We recognized the important role the IR Director plays in generating required reports, informing decision making, preparing for accreditation, and supporting strategic planning. </p>

<p>The timeline for the search process was outlined with application review in late January, on-campus interviews in February, and recommendations to Dr. Wray by April 1. Various constituents and activities were identified to be included in the interview itinerary. We make a sincere effort to develop a interview schedule that not only allows appropriate interactions, but also is realistic in regard to duration and intensity. </p>

<p>Future meetings to be held in Room 216 Parker Hall at 8 a.m. were tentatively set for Tuesday, January 2, and then weekly on Wednesdays on January 10, 17, 24, and 31, February 7, 14, 21, and 28. Stoll will provide advance agendas.</p>

<p>Next meeting&rsquo;s topics will include reviewing and revising the interview itinerary. </p>

<p>Members present: Jerry Bayless, Andrew Careaga, Billy Earney, Patti Fleck, Amy Gillman, Jay Goff, Carol Heddinghaus, Laura Stoll, Sue Turner</p>

<p>Members absent: Brian Buege, Linda Evans, Dick Miller</p>

<p>Others present: Warren K. Wray, Phyllis McCoy</p>

<p>Provost Warren K. Wray began the meeting by reading the charge to the committee. He then opened nominations for committee chair.  Laura Stoll was nominated to serve as chair of the committee and was approved by acclamation. Provost Wray then turned the meeting over to Stoll, who solicited nominations for vice chair. Andrew Careaga was nominated to serve as vice chair and was approved by acclamation. Patti Fleck was then nominated to serve as recorder and was approved by acclamation.</p>

<p>The committee reviewed two documents related to the Director of Institutional Research position: a draft position description and a draft of the posting information for use in advertising for the position. The committee agreed to revise the position requirements as follows:<ul><li> Change the educational requirement from an &ldquo;earned doctorate&rdquo; to &ldquo;master&rsquo;s degree.&rdquo;<br />
<li> Change the requirement in the posting information from &ldquo;Five years experience which includes supervisory responsibilities and research project experience in higher education&rdquo; to &ldquo;Five years experience in statistical research and reporting is required. Experience in higher education is desirable.&rdquo;</ul>Phyllis McCoy then reviewed with the committee two sections of the University of Missouri Human Resources Policy Manual pertaining to Equal Opportunity Employment (HR-102) and Interviewing (HR-110). Both HR-102 and HR-110 are available online at the UM Human Resources Policy Manual Website.</p>

<p>A time and date for the next meeting was tentatively set for 9 a.m. Tuesday, Dec. 19, in Room 216 Parker Hall. The meeting adjourned at 11:30 a.m.</p>]]></description>
